Overview:
The Lease Administration Specialist will receive and process paper and electronic documents and mail, review agreements prior to sending for executive signatures and input critical data points into our administration tool, ensuring proper payments are made to our Landlord and actionable terms and conditions of the lease documents are identified.
Primary Responsibilities:

Receiving, sorting, scanning and filing mail and other paperwork.

Review lease documents, abstract lease details, set up rental payments, and track dates for actionable requirements pursuant to the lease documents.

Evaluate incoming leases in both paper and electronic formats to verify the lease is administrable

Monitor and communicate to various stakeholders’ critical dates such as lease expirations, lease, insurance bond renewals

Ensures national processes and procedures regarding leasing are adhered to.

Calculates prorated rental payments, upcoming payment escalations and termination fees.

Commence lease payments and/or exercise option provisions when directed

Monitor and respond to inquiries via email and an internal ticketing system

Prepares reports as requested by various department

Works closely with various teams to research missing payment or document requests

Perform lease payment audits & reconciliation

Identify and resolve discrepancies in lease language

Special projects as needed, including assistance with data clean-up and migration, updating lease and payment details, checking for and abstracting amendments when applicable
Knowledge and Experience:
-
Bachelor’s Degree, or 2 years’ equivalent experience in accounting, bookkeeping, real estate, and/or lease administration

Demonstrated ability to work independently

Ability to prioritize large volumes of work based on evolving priorities

High energy to maintain a sense of urgency with the ability to adapt to any situation

Review, understand and communicate lease requirements to stakeholders

Strong attention to detail, excellent follow through

Excellent written, verbal, analytical, and research skills required

Telecommunication experience is a plus but not a requirement
