Front Desk Coordinator

The Front Desk Coordinator will be responsible for the execution and management of office functions, supporting management needs, and collaborating in areas of office team leadership. As a client services organization, the Front Desk Coordinator will often be the first person our clients, prospects, and recruits meet. Therefore, excellent professional interpersonal skills with the ability to welcome guests while maintaining a professional reception area is critical.

Qualifications:

  • Associate degree or equivalent experience
  • 3 years of work-related clerical or administrative experience
  • Proficient in Microsoft Word, Excel, Outlook, and Teams; basic knowledge of operating standard office equipment
  • Strong verbal and written communication skills
  • Ability to provide outstanding service in fast-paced environments
  • Strong interpersonal skills
  • Ability to foster a positive working environment and embrace organizational culture

Responsibilities:

  • Serve as the primary point of contact for the office
  • Collaborate with internal client services and IT teams to assist with leadership meetings, candidate interviews, IT hardware deliveries, new hire welcoming, and certain accounts receivable and payable needs
  • Provide occasional administrative support to senior and/or executive management, which may include: calendar and appointment management, expense reporting, contact maintenance, liaison with executive team, and special projects as assigned
  • Coordinate meeting arrangements (logistics, agendas, catering, etc.) and may perform event planning as needed for client appreciation or internal events
  • Maintain an organized, professional office, reception area, and facility, including:
    • Ordering general office supplies and maintaining stock room
    • Organizing and stocking kitchen facilities
    • Serving as liaison with building management, cleaning, and maintenance personnel
    • Gathering, sorting, and distributing mail and packages
  • Responsible for opening the office, welcoming guests and new hires, and remaining generally available on-site mornings, with flexibility of timing on other days; part-time office presence is anticipated to be over 5 days per week (schedule is flexible based on coordination with local office leadership)
